Plano is a workflow improvements log that helps teams document process changes and quantify the time each change frees up.
You capture how a step was done before and after an improvement, and Plano estimates the annual hours saved so you can share a clear summary with stakeholders.
Open the dashboard and click New improvement to start the create wizard.
Name the improvement, add the steps that changed, and record Before and After details for each step (whether it was active, how many minutes it took, and whether a person or an automation did it). You can save as a draft at any time and publish once the required fields are filled in.
Each step has two states on the same row: Before (the old way) and After (the improved way).
For both states, mark whether the step is active, how long it takes in minutes, and whether a person does it manually or it is automated. Plano uses the difference between Before and After, combined with how often the workflow runs, to estimate the time saved.
Plano compares the Before and After minutes for every active step, multiplied by how often the workflow is performed.
The result is an annualised estimate of hours freed across the year. Plano reports capacity freed and does not claim realised savings or headcount reductions.
The AI draft assistant turns a short description of your process into a starter set of Before and After steps you can edit.
Free includes 3 AI draft builds per month. Pro includes 150 AI draft builds per month. Quotas reset on the first of each month. AI output is a starting point; you always review and edit the steps before publishing.
Estimated annual capacity value is an optional, informational figure that converts the annual hours saved into a monetary equivalent using an hourly basis you set in Settings.
It is labelled informational and is not a realised saving, a headcount reduction, or any budgetary commitment. It is provided as context only, so you can discuss the scale of capacity freed in familiar terms.
Draft means an improvement is a work in progress and is not included in register totals or exports.
Active means the improvement is complete and contributes to your dashboard metrics, register, and shared summaries. You can move an improvement between Draft and Active at any time.
The Standard export is a per-improvement PDF covering one improvement, with its summary metrics and every Before and After step.
The Executive export is a per-improvement one-page summary (PDF plus a 4K slide-ready PNG). Free includes 2 lifetime executive exports; Pro is unlimited. The Improvements Summary, available from the register Export menu, is a portfolio-level version covering all or selected active improvements and uses the same lifetime quota on Free. CSV export is a separate Pro-only export also available from the register Export menu.
Free includes up to 5 improvements in total across Draft and Active, and 3 AI draft builds per month.
Free outputs include the ShareView link and the Standard export, both with Plano branding, plus 2 lifetime Executive exports (PDF and 4K PNG). The Improvements Summary (PDF + 4K PNG), CSV export, and ShareView passcode protection are Pro only.
Pro includes unlimited improvements, 150 AI draft builds per month, unlimited Executive exports, the Improvements Summary (PDF + 4K PNG), CSV export, ShareView passcode protection, and no Plano branding on outputs. You can upgrade or downgrade from Settings at any time.
Organisation benchmarks (hours per FTE per year and weeks per year) are editable on the Pro plan from Settings.
These benchmarks shape how Plano converts hours saved into an FTE equivalent. Free users see sensible defaults.
Billing is handled in Settings under the Plan tab. From there you can upgrade, downgrade, or open the Stripe customer portal to download invoices and update payment details.
If you need a VAT invoice or a change that the portal does not cover, contact billing via the support form.
First, try the Magic link tab on the login screen, enter your email, and we will send you a login link with no password required.
If the login link email does not arrive, check spam and promotions folders. If you have a password set, you can also use the Password tab and select Forgot password. If you still cannot get in, contact support below and include the email address on your account.
You can delete your account from Settings. Deletion removes your profile and improvements and cannot be undone.
If you would prefer a data export or have a privacy request, use the contact form and select Privacy from the subject dropdown.
Yes. Your improvements are only visible to you unless you generate a share link or export.
